The enquiries that never make it into any report
A missed call and a Saturday night form fill have one thing in common. You paid for both, and neither leaves a trace when it goes cold.
An unanswered call is a paid enquiry with no record
When somebody clicks your ad and rings, that call cost you exactly the same as the form fill that arrived at the same moment. The difference is that the form fill is sitting in your CRM and the call is sitting in a phone log that nobody opens.
In practice most missed calls are not deliberate. Someone is on a site, on another call, driving, or it is ten past five. The caller does not know or care. They ring the next business on the list, and by the time anyone here notices, the job is quoted elsewhere.
The fix is not “answer the phone more”. The fix is that a missed call automatically triggers a text within a minute, creates a lead record, and puts a named person on a callback with a deadline. The caller gets an immediate response even though nobody picked up, and the enquiry becomes visible instead of invisible.
People enquire in the evening. That is just when they have time.
Homeowners research after dinner. Business owners send enquiries once the day is done. Weekend enquiries are frequently the most motivated ones, because something has just gone wrong or a decision has just been made.
If your reply lands at 8:30 on Monday morning, you are entering a race that started 36 hours earlier. Whoever replied on Saturday night has already spoken to them, answered the obvious questions and very likely booked the visit.
After-hours cover does not mean somebody sitting up until midnight. It means the enquiry gets an immediate, useful reply, the obvious qualifying questions get asked, and the person can put themselves into your calendar without waiting for anyone. A human picks it up in the morning with the conversation already halfway done.
- Immediate acknowledgement so the enquiry knows they are not shouting into a void
- The qualifying questions asked while their attention is still on it
- Self-service booking so motivated buyers can lock a time in at 11pm
- A properly ordered queue on your desk in the morning, not a pile of voicemails
