837 enquiries in the CRM. Seven of them had been won.
This business was not short of leads. It was short of follow-up. We pulled every record out of their CRM and classified all 837 opportunities. 241 quotes had been sent and never chased, worth $776,688, sitting an average of 222 days untouched. Another 302 enquiries had never moved past the first stage at all, some for five months. Across the whole pipeline, only 42 records had been touched in the previous fortnight.
So we built the layer that does the chasing. Missed calls now get a text back inside a minute. An AI qualifier works the reply, finds out what the job actually is, writes it into the CRM and hands a written brief to a human. It never quotes and it never books. The quote backlog gets a real sequence carrying case studies and reviews instead of silence, capped daily so it goes out over a fortnight rather than in one blast. Alongside it runs a live report that attributes every inbound call to the tracking number that produced it, so the ad spend is finally answerable.

The formatting job nobody wanted, done in under a minute.
Every candidate submission needed the same manual work: read the CV, write a summary, build a front sheet, then strip out every phone number and email address before it could go to the client. It was twenty minutes of careful, boring work per candidate, done by people whose time is worth considerably more than that, and it was the step that got rushed when the day got busy.
We built a tool the whole team uses. A consultant drops in a CV and gets back a client-ready pack: the front sheet on page one with the candidate’s name, current employer and four or five written summary bullets, followed by the full CV with every personal contact detail removed. Word or PDF. It is live for the team today, behind a shared password, and the same engagement wired their outreach so every conversation is logged back against the right record in the applicant tracking system automatically.

This practice was doing everything right at the front and losing people at the last step. The booking link on the live website pointed at a calendar that had been switched off, so it returned a 404. Four of six paid services had no calendar at all, so even a determined client could not book them. And no appointment notifications existed anywhere: the only two configured were in-app alerts addressed to an assigned user, and no calendar had an assigned user, so nobody was ever told anything. Clients were not being reminded and the practitioner was not being told.
We rebuilt the booking layer. Every paid service now has a working calendar and a live link. Every calendar carries a full notification set, 18 each and 108 in total: confirmations, reminders and follow ups to the client, and alerts to the practitioner by both email and SMS. Because she had no user seat in the system, the alerts go to her real email and mobile rather than to a seat that does not exist. Alongside it we built the tool that turns her rough session notes, or a recording, into a completed case note in the required clinical format, ready to review and download. It never invents a clinical fact, anything not in the notes is left blank, session content is never stored, and the templates use a client code rather than a name.

Fifteen years of relationships, locked in a file nobody could open.
Every business that has traded for a decade owns this: an email archive full of people who already know them, already replied, and would take the call. It is the warmest list the business will ever have and it is completely inert, because it sits in a mail file nothing can read at scale and nobody has time to read by hand. This one was 1.1 GB and roughly five thousand messages.
We built the pipeline that opens it. It reads the archive, strips the noise automatically, works out who had a genuine two way relationship rather than a one way pitch, and scores each contact on how warm they actually are. Then it writes the history back into the system the consultants already work in, so it lives where the work happens. 479 notes written, zero failures, each carrying the real date of the original conversation and each deduplicated against what was already there. Running it again writes only the gaps.
