Segment before you send

Old enquiries, unanswered quotes and past customers are three different conversations. A quote that went quiet nine months ago gets a different message from someone who enquired once in 2024 and never engaged.

Lead with a reason, not a discount

The message should give a legitimate reason for the contact: a change in what you offer, availability, a seasonal trigger, or simply a direct question about whether the original job ever got done.

Send in controlled batches

Batches keep replies manageable and protect your sending reputation. A list that generates 40 replies in an hour that nobody answers is worse than not sending at all.

Route replies into the same pipeline

Anyone who responds enters the same qualification and follow-up system as a brand new enquiry, with an owner and a next action. Reactivation without follow-up just re-loses the same leads.

Respect the exits

Opt-outs are honoured immediately and permanently. Contactability rules and consent are part of the build, not an afterthought.

Then keep it running

Once cleaned up, the database gets worked on an ongoing cadence rather than being left to go stale again for another two years.

Why it goes first

It is usually the fastest return in the build

New enquiries take time to arrive and time to mature. Your existing database is available on day one, at no additional acquisition cost. On most builds this is where the first recovered sale comes from, often while the rest of the system is still being switched on.

Worth doing before the review: get a rough count of how many past enquiries, unconverted quotes and previous customers you have on file. Even an approximate number changes the shape of the conversation.
